This policy covers hartsco.com and the requests you send us through it. Hartsco Pty Ltd (ABN 40 152 147 030) runs the site. When this policy says "we" or "us", that's who it means.
The short version
- We only collect what you type into the strategy call form or put in an email to us.
- We use it to reply to you, arrange your call and, if you go ahead, do the work.
- No cookies, no analytics, no advertising trackers. The site has no JavaScript at all.
- We don't sell your details or add you to a mailing list.
- Email info@hartsco.com any time to see, fix or delete what we hold about you.
What we collect
When you fill in the form: your name, your work email, your business name, how many people work there (if you tell us), and what you'd like AI to fix.
When you email us: whatever you choose to put in the email.
When you visit any page: as with every website, our host receives the technical details your browser sends with each request, such as your IP address, browser type, the page you asked for and the time. These sit in the host's server logs for a short period. We don't use them to identify you.
Why we collect it
We use your details to reply to your request, arrange your strategy call, run it and send you the written summary afterwards. If you then engage us, we use them to do that work and keep proper business records. We won't use them to market anything else to you unless you ask us to.
Who handles it for us
A few services handle your details for us, and only to do the jobs listed here:
- Vercel hosts this website and runs the form when you send it.
- Mailgun delivers what you send through the form to our mailbox. It keeps a copy of the message and its delivery records for a limited time under its own retention settings.
- Microsoft 365 holds our mailbox, info@hartsco.com. Its data is stored in Australia, and only Damian Hartin has access to it.
- Anthropic provides the AI tools we may use to help sort enquiries and draft replies. A person reads every enquiry, and Damian writes or approves every reply himself.
- Mailgun and Red Sift (OnDMARC) receive reports that help us check that email sent from our domain is genuine. If a message fails those checks, a report can include parts of it, such as its subject line.
- If you engage us and a specialist or contractor joins the work, we share only what they need for it, and they're required to keep it confidential.
Apart from that, we don't share your details with anyone, unless the law requires us to.
Details sent overseas
Vercel, Mailgun and Anthropic are based in the United States, and Red Sift is in the United Kingdom, so your details may be handled in those countries. Our mailbox stays in Australia.
Decisions made by computer
We don't make any decision about you by automated means alone. AI tools help us read and reply, but a person makes every decision.
How long we keep it
We keep enquiries for as long as we need them to deal with your request and keep proper business records. After that, we delete them. Ask us and we'll delete yours sooner, unless the law requires us to keep it.
How we look after it
Everything you send through the site travels encrypted (HTTPS). Our mailbox has its own sign-in, and only Damian can open it. The keys the form uses to send email are kept in our host's encrypted settings, never in the website's code.
Seeing, fixing or deleting your details
Email info@hartsco.com and tell us what you'd like. We'll reply within 30 days, and there's no charge.
Complaints
If you're unhappy with how we've handled your details, email info@hartsco.com first and we'll try to put it right. If we can't, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
When the way we handle your details changes, we'll update this page and the date at the top. One change is already planned: enquiries will move from our mailbox into our customer management system. Before they do, this page will say where that system holds them.
